SUMMARY OF QUALIFICATIONS Exceptional English and Russian written and oral communication skills Demonstrated ability to develop and maintain excellent long term relationships with variety counteragents Ability to interact with a variety of individuals in a courteous, professional manner Proven capability to work well under pressure and within tight deadlines Proactive professional demonstrating team building skills and superior internal client service Experience preparing eloquent and organized marketing materials Advanced proficiency in Excel, Word, Power Point, Internet Research RESPONSIBILITIES Manage and maintain schedules and calendars, requiring interaction with both internal and external executives and assistants. Coordinate of all CEO' meetings: maintain tracking system (company uses teams, Zoom, Skype and other tools for meetings) to ensure timely and appropriate scheduling, Manage daily work flow of all counter agents interacting with CEO, appropriately prioritizing tasks and obligations Create meeting materials including spreadsheets and executive summaries when needed, ensure successful follow‐up on action items resulting from meetings Manage a sometimes very high volume of domestic and international travel seamlessly for the CEO and his family Prepare itineraries and travel folders for company managers and executives (traveling together with CEO) with the support of Head of Administration; Schedule, coordinate and frequently participate on meetings, events and gatherings; Coordinate agendas for committee, board, and other meetings; Assist with preparation of meeting materials; Prepare a variety of correspondence, including letters, memoranda and reports; Perform related duties and responsibilities as required by the CEO and executive team; Support the business development teams with various tasks including (but not limited to): Contacting customers or clients at the direction of the BDR or CEO to schedule calls, meetings, updates, training, or other communications that may be required; Conference planning to include: identification, justification, budgeting, organization, registration, abstract submission, travel accommodations, arranging workshops and social engagements, scheduling, travel folders and other organizational tasks that may be required. Contracts: Tracking, filing, proofreading, emailing internally, following-up as needed, and keeping track of expiration dates as needed. Other duties as assigned.
